We use phone numbers for secure identity

8seats uses your phone number to securely verify your identity, making sign-in easy and keeping your account safe. Your number stays private and is only used for verification.

Personal vs Workspace accounts

Personal spaces: If you use 8seats for personal messaging, you own all your message data, including any images, videos, or documents you share.

Workspaces: If you’re using 8seats as part of a company Workspace, your company owns and manages that Workspace’s data. Your company’s account holder has control over the message data and files shared within the workspace.

Keeping your information safe

Your data belongs to you. We will never access your data or content unless you ask us to provide you with customer support.

  • Secured storage: All your information is safely encrypted and stored using industry-leading technology, with secure backups.

  • Safe transmission: When data is sent over the internet, it’s encrypted using up-to-date security protocols so that it can’t be intercepted.

Third-party services & anonymous diagnostics

To improve stability and performance, we may use third-party services to collect anonymous diagnostic data (such as error reports, usage patterns, or device types). This helps us identify and resolve issues quickly. No personally identifiable information (PII) is included in these logs unless explicitly required and disclosed.

We carefully vet all third-party tools for compliance with data protection standards and only share the minimum data necessary to fulfil operational needs.

Use of AI models & privacy

8seats offers AI-powered features via trusted third-party models: ChatGPT (branded in our system as 8AI) and Google Gemini. The privacy of your data may vary slightly depending on the model in use. We clearly indicate which model is active, and only use providers who meet high standards of data security and compliance.

Prompts submitted to 8AI or Google Gemini are stored as messages within your account. These are only visible to members of the Workspace or chat where the message was originally created — no one outside of that context can access them.

We do not store AI interactions outside your Workspace unless needed to deliver features or diagnose issues. Both OpenAI and Google provide strong privacy guarantees; we encourage reviewing their respective policies for full details.

Maintenance & updates

Planned updates: Sometimes we need to perform scheduled maintenance to keep everything secure and running well. You’ll be notified in the app before any planned updates.
