Here's a quick guide to point you in the right direction:

### Tables - Your everyday team chat **Tables are the heart of 8seats. Choose a Table for a team or group of people that you work with frequently.** It might be your team at work or a group of people who are focused on a project. Tables enable you to have one place for all your team and project conversations.

### Rooms - Broadcast to thousands, collaborate with ease **Choose a Room when you have a larger group of people.** Did you know that a Room on 8seats can support up to 10,000 members? Rooms are a good choice for an all-team chat, company announcements, policies and procedures or a kudos and congratulations Room.

### **DMs - Fast, secure one-on-one communication** **Just need to send a quick message? A DM could be your best bet.** DMs can be given subject lines, which is handy to keep things organised and find them again later. A good guide to remember is that if you would normally have sent an email – a DM on 8seats is a better choice.

### Desktop - A productivity game changer **Enter power mode on desktop with multi-columns.** On the web version of 8seats for desktop, you can open extra chat columns by clicking the + button on the right hand side. A Room is great for this! You can set up and customise your Room following the steps below.

You can customise your Room with a theme colour and a preset or custom background or choose to ‘Skip to my Room’. choose to ‘Skip to my Room now’ or customise your Room with a theme colour and a preset or custom background. 4. Click ‘Go to my Room’ and that’s it! 5. Invite your team to your Room using the blue ‘+’ button. You can choose to invite from your Directory or invite someone new. 6. Create a Group DM with a subject line that you can dynamically chat in, then file away neatly.

### Step-by-step - How to create a Group DM 1. Click the blue ‘Compose’ button. 2. Click the ‘Group Chat’ tab. 3. Add people to your group chat by Tapping the ‘+’ button. Note: you can have up to 8 including yourself. Search for your contacts in the search bar, select contacts by tapping the box next to their name. 4. Edit your profile picture by tapping the blue circle ‘image’ button. A pop up will allow you to: * Select a photo from your library – tap ‘choose’ * Choose a preset avatar – tap ‘set avatar’. * Or on mobile you can instantly snap a picture using your camera 4. 1. Press and hold for a few seconds on the message you wish to send an emoji reaction to. 2. A pop up will appear with an emoji quick access bar with commonly used emojis or simply click the ‘+’ icon to bring up a greater variety of emojis to send. {% hint style="info" %} **Note:** You can unsend your emoji by tapping on the emoji you sent or check your marked emojis in your emoji pop up and tap on it there. {% endhint %} 3. 8AI can be added to a Table as an extra member of your team

### What is 8AI? 8AI is just like the newest member of your team. It can help save time and boost your team's productivity by automating repetitive tasks, providing data analysis and insights, answering your specified prompts, or even providing an additional brainstorming resource. ### How to use 8AI? #### 1. How to include or exclude 8AI from a conversation To send a prompt to 8AI on a Table, you will need to include it in the conversation. If you are in a Room, 8AI will be included along with all other Room members. To include 8AI in a conversation on a Table, **tap their head up**. Or to keep 8AI out of a conversation, **tap their head down**.

8AI can help with many common workplace tasks

### Privacy & security Our core security and privacy principle is that your data belongs to you. We only send message data to 8AI if all of the below conditions are met: * You’ve added 8AI to the table * You’ve included 8AI’s head in the conversation * You sent a message that includes “@8AI” or “@8” The message data will only be used to process your request with the AI and is never used to train or improve the AI. ### How 8AI works When you message 8AI, we send 8AI your question plus the last 100 messages from the current conversation in your Table, Room or DM. We do this to provide enough context for 8AI to be able to deliver a helpful response. 8AI also has a comprehensive understanding of 8seats so you can ask questions about the platform, including hints and tips, how-tos and more. ### What’s behind the scenes? 8AI is currently powered by GPT-40 which is the latest and greatest from OpenAI. ### Swipe left & right to browse You can browse through all of your conversations on a Table by swiping left and right. Your conversations are kept in order of how recency.

### Activity – your 8seats inbox Activity shows your most recent messages, including conversations on all of your Tables, Rooms and DMs.

### Long hold to 'solo' someone Need to talk to just one person? Simply long hold on their head to quickly jump into a conversation with only them.

### Search for messages Quickly find the message you’re looking for by searching here.

### More message controls Access extra options with a long hold on a message. You can copy the image or text, share the message or delete it if you make a mistake. # Invites ### Invite others to join you in 8seats

Invite other people to your Table by tapping the + button. You can have up to 8 people on your Table, including yourself – or even up to 20 on the 8seats Business plan. No need to worry if they don’t have 8seats yet, all you need is their phone number and we’ll invite them to join you on your Table. What is an 8seats workspace?

A workspace is one place that connects everyone in your team, as well as all of your team’s Table, Rooms and DMs. This means that all of your message data – including any images, videos or files your team sends – is stored securely within your workspace. How do I add co-workers to my workspace?

Adding team members to your workspace is easy, all you need is their phone number. Invite team members to Tables, Rooms or DM’s automatically adds to your workspace. Once you have created a workspace, simply click the ‘+’ symbol in a Table, Room or DM and you’ll be prompted to add your team member as a member or guest and you’re all set.

What’s the difference between a member and a guest?

Members can create new Tables and Rooms in the workspace, as well as make changes to their settings. Members can also invite other people to Tables and Rooms. Guests can be invited to Tables and Rooms, but they are not able to create new ones in the workspace, and may not invite other people. As a good rule, the team members within your business are best as Members. Use Guests for people who are outside your business, such as vendors and suppliers, partner businesses, customers and clients, or other associates.

What is a Table?

Tables are the heart of the 8seats app. They are the next evolution in group messaging. A table enables dynamic conversations between any combination of people in that group with a simple tap or swipe. How many people can I have on a Table?

Tables are for up to 8 people on a free plan or up to 20 people on the Business plan. For communicating with more than 20 people you can use a Room, this will allow you to broadcast messages to up to 10,000 members. Perfect for company announcements, giving kudos and congratulations or sharing new policies and processes.

I put someone’s head down. Are you sure they can’t read my message?

Yes. If a table member’s head is down they can never read any messages sent to that conversation. Our system ensures there’s no way for them to access or intercept that message on their device.

What if I need to chat with more than 8 people?

Did you notice that the 8seats logo contains both the number 8 and the ∞ infinity symbol? That’s no coincidence! 8 is just where we start. On our Business plan, you can extend your Tables to include up to 20 people, covering most team sizes where fast collaboration and dynamic conversations are required. For the times when you need even more than that, our Rooms feature offers you simple group chat, allowing you to broadcast to up to 10,000 members. Rooms do not include the heads up and down feature (that would get quite fiddly with more than 20 people!), however we have some innovative features planned for the future to bring natural conversation dynamic to much larger groups too. How do I add people to my Table or Room?

A Table can have up to 8 people on it, or up to 20 for users on the Business plan. That means you can add up to 7 others – or 19 others for Business users. Rooms are much larger, with support for up to 10,000 members. Anyone who is a member of a Table or Room can invite other people to it. Once you have a Table or Room set up, simply tap the blue ‘+’ icon near the top right of the screen to start the invite process. You can add multiple people directly from the contacts on your device, or if you want to add someone new, simply enter their name and phone number to securely invite them to your Table.

How many Tables or Rooms can I be part of?

In the free plan you have the ability to create 3 Tables and 3 Rooms, you can however be invited to Tables and Rooms by other 8seats users. There is no limit on the number of Tables and Rooms that you can be a part of. Does your business need more Tables or Rooms? Are the messages I send secure?

Yes the messages and personally identifiable information on the 8seats platform are protected with 256-bit encryption, both at rest and in transit to ensure your privacy. You can customise your Table and Room backgrounds and colours. Choose from our library of backgrounds or upload one of your own. Tailor your workspace to align it with your organisation's branding. We recommend making your workspace fun!

I already have a chat app. Why should I start using 8seats?

8seats is a business messaging tool/app for all teams, but predominantly frontline and blue collar workers. You'd be familiar with Microsoft Teams and Slack, these are messaging tools used by office based workers that have email addresses. Business that employee frontline workers, i.e. retail workers, hospitality workers, facilities management workers (give some examples ie. A retail chain of kids toys that has 55 stores nationally with 10 people per store) have no centralised way to communicate directly with their workers and these teams have naturally adopted WhatsApp, iMessage, SMS and other tools. The problem is, that using personal messaging apps means that all the data resides on the workers personal device, the company has no visibility of what groups the employees are in, the information that's being shared, and no way of removing them from these groups or restricting access to information when they cease their employment. In the left-hand navigation, select **Manage people & departments**. 2. Click the **Add User** button in the top-right corner.

Fill in the following details: * **Full name** – the user's full name. * **Phone number** – this is used to sign in to their account (e.g. +61412345678). * **Work email address** – the user's work email. * **Display name** *(optional)* – the name shown to others in the workspace. If left blank, the user will be prompted to create their profile on first sign-in. * **Role** – select the appropriate permission level from the dropdown (defaults to Member).

# How to manage roles for Workspace members Workspace owners and admins can update a member's role at any time from the Manage people & departments section. 1. In the left-hand navigation, select **Manage people & departments.**

2. Find the user you want to update and click **Edit.** 3. Scroll down to the Workspace role dropdown and select the appropriate role: * **Owner** – full control of the workspace. * **Admin** – can manage settings and users. * **Member** – standard access. * **Guest** – limited access.

In the left-hand navigation, select **Manage Tables & Rooms.** 2. You will see a list of all existing Tables and Rooms, including their type, member count, status, and owner.

3. To edit a Table or Room, click **Edit** next to the one you want to update.
